JOB DUTIES OF ADMINISTRATIVE ASSISTANT

 

  • Type and proofread all letters and other correspondence. Assists office staff in maintaining files, databases, and statistics.
  • Prepare and complete orders for delivery or pickup according to schedules.
  • Handle administrative requests and queries from manager.
  • Schedule appointments and follow up to confirm.
  • Arrange, plan and coordinate seminars, meetings, and conferences, prepare minutes.
  • Collect and send invoices to appropriate department. Prepare and code select invoices including matching and receiving slips.
  • Answer and direct phone calls, regularly open electronic mails and other mails and coordinate with other departments for flow of information.
  • Write and distribute email, correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Update and maintain office policies and procedures.
  • Assign jobs and duties to staff as needed.
  • Greeting clients in well professional manner.
  • Serves as the go-to for office inquires and conflicts.
  • Communicate and cooperate with supervisors and coworkers.
  • Coordinating travel of company personnel; booking flights, hotels, etc.- when required.
  • Assist with inter-company receivables and reconcile monthly utility statements.
  • Attends to any other duties assigned by management from time to time.
