We are seeking an experienced Administrative Manager to lead and coordinate our day-to-day administrative operations, ensuring smooth, efficient, and compliant service delivery across all departments.
This is an on-site leadership role for someone who thrives in a structured, fast-paced environment and enjoys managing teams, systems, and processes.
Position Summary
The Administrative Manager will oversee and coordinate all administrative services, support operational efficiency, manage budgets and compliance, supervise staff, and ensure effective internal systems that support the centre’s programs and strategic objectives.
Key Responsibilities
- Coordinate and oversee all administrative services to ensure efficient daily operations
- Manage the operations of departments providing multiple administrative functions
- Develop, implement, and improve office procedures and administrative systems
- Collect, process, and record administrative and service fees accurately
- Assist in preparing and monitoring annual operating budgets
- Plan, administer, and control budgets for projects, contracts, equipment, and supplies
- Direct and advise staff responsible for records management, security, finance, purchasing, and human resources
- Supervise office employees and volunteer staff and assign daily tasks
- Recruit, train, and support administrative staff to maintain performance standards
- Monitor regulatory compliance and enforce corporate governance policies
- Prepare reports, summaries, and briefs for management committees
- Assist in planning and executing financial statement audits
- Coordinate procurement of office supplies, materials, and equipment
- Maintain inventory systems and ensure adequate stock levels
- Evaluate and negotiate service contracts with vendors and suppliers
- Organize meetings, events, and internal administrative activities
- Maintain accurate records, files, and confidential documentation
- Identify operational improvements and implement efficiency strategies
- Communicate with staff, management, and external stakeholders professionally
- Ensure adherence to workplace policies, ethics, and safety standards
Qualifications
Education
- College diploma or CEGEP in Business Administration, Office Administration, Management, or related field
Experience
- 1 to less than 2 years of administrative management or supervisory experience
