Job Description
Fat Panda Thunder Bay is looking for a detail-oriented and organized Administrative Assistant to support our management team across our three retail locations. This role is central to our daily operations, ensuring that administrative tasks are handled efficiently so our stores can focus on providing the best customer experience. If you are a proactive problem-solver with strong office skills, we want you on our team!
Key Responsibilities
• Office Coordination: Manage daily administrative tasks, including answering phone calls, handling correspondence, and maintaining digital and physical filing systems.
• Inventory Support: Assist in tracking inventory levels for all three Thunder Bay locations, processing purchase orders, and coordinating with suppliers.
• Scheduling: Assist management in preparing staff schedules and coordinating meetings or training sessions.
• Data Entry: Maintain accurate records of sales reports, expenses, and payroll-related information using Excel and our POS system.
• Compliance Documentation: Ensure all provincial and federal regulatory documentation (health and safety, age-verification logs) is organized and up-to-date.
• Communication: Act as a point of contact between store managers and the regional office to ensure smooth information flow.
Requirements & Qualifications
• Experience: 1–2 years of administrative or office assistant experience is required. Experience in a retail or fast-paced environment is a major plus.
• Technical Skills: Proficiency in Microsoft Office (especially Excel and Word) and comfortable learning new POS and inventory management software.
• Organization: Exceptional organizational skills with the ability to prioritize tasks and meet deadlines without constant supervision.
• Communication: Professional verbal and written communication skills in English.
• Professionalism: High level of integrity and the ability to handle confidential business information.
• Education: Completion of secondary school is required; a diploma in Office Administration or a related field is preferred.
