Job description

 

Administrative Assistant

We are a courier company with a specialty in the transportation of temperature sensitive goods & laboratory samples. Our company operates around the clock to provide our clients with the best possible courier services available. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace.

 

To be successful as an administrative assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, administrative assistants should have a genuine desire to meet the needs of others.

 

 

Administrative Assistant Job Responsibilities:

  • Arrange and co-ordinate seminars, conferences, etc.
  • Record and prepare minutes of meetings, seminars and conferences
  • Determine and establish office procedures and routines
  • Schedule and confirm appointments
  • Answer telephone and relay telephone calls and messages
  • Answer electronic enquiries
  • Compile data, statistics and other information
  • Order office supplies and maintain inventory
  • Arrange travel, related itineraries and make reservations
  • Greet people and direct them to contacts or service areas
  • Open and distribute regular and electronic incoming mail and other material and co-ordinate the flow of information
  • Set up and maintain manual and computerized information filing systems
  • Type and proofread correspondence, forms and other documents
  • Provides administrative support to ensure efficient operation of office.
  • Daily data entry with Microsoft Excel and maintain an organized filing system.
  • Carries out administrative and accounting duties such as filing, typing, copying, binding, scanning, invoicing, etc.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Review and file payroll documents
  • Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.
  • Provides information by answering questions and requests.
  • Contributes to team effort by accomplishing related results as needed.
