As Office Manager, you will oversee day-to-day office operations, streamline workflows and processes, and serve as the main point of contact for both internal and external clients. You will coordinate administrative functions and develop and implement operational policies and procedures. We are looking for a well-organized, detail-oriented, and self-driven individual with a strong background in office management, excellent communication skills, and the ability to multitask. You should also have a passion for outstanding client service and contribute to our organization's success.

Job Responsibilities

  • Review and evaluate administrative operations, identify areas for improvement, and implement efficient and effective changes.
  • Establish office work priorities, ensuring guidelines are followed and deadlines are met on time.
  • Manage schedules, including time off, vacation requests, sick days, timesheets, and benefits, while generating associated reports.
  • Supervise office staff, resolve work-related problems, and foster a positive work environment that promotes teamwork and collaboration.
  • Coordinate and plan for essential services such as procurement, supplies, forms management, parking, maintenance, and security services.
  • Maintain office supplies and ensure the recruitment team has the resources to succeed.
  • Assist with office-related issues, including maintenance, facilities management, and equipment troubleshooting.
  • Ensure the security, integrity, confidentiality, and protection of all company data, including sensitive information.
  • Maintain candidate records and ensure accuracy and up-to-datedness.
  • Assist in the preparation of the operating budget, maintain an inventory, and implement budgetary controls to ensure fiscal responsibility.
  • Manage budgeting, contracting, planning and management processes, ensuring smooth execution and compliance.
  • Provide insight into office efficiency and effectiveness through reports and analytics.
  • Prepare periodic reports, manuals, and correspondence for effective decision-making and communication.

 

Job Requirements

  • High School
  • Degree/Diploma in business/public administration would be an asset but not mandatory.
  • Experience in managing an office.
  • Highly organized.
  • Proficient with MS Office.
  • Excellent communication skills (verbal and written).
  • Multi-tasking in fast-paced environment.
