Job Title: ADMINISTRATIVE ASSISTANT - LEGAL (NOC 13111)

 

Job Type: Full Time/Permanent

Wage: $36.00/Hour

Education: Secondary (high) school or equivalent

Experience: 1 year to less than 2 years

Job Responsibilities:

  • Prepare, type, and enter immigration-related documents, forms, and applications based on client information or client submissions.
  • Review and proofread immigration forms, letters, and supporting documentation to ensure accuracy, compliance with immigration regulations, and proper formatting.
  • Schedule and coordinate client consultations, appointments, and meetings with RCIC officials and case officers, as required.
  • Organize and maintain secure filing systems for client files, including confidential records, visas, permits, and other legal documents.
  • Receive, sort, and distribute incoming correspondence, emails, and communications, ensuring timely responses and the smooth flow of information between clients and case officers.
  • Develop, implement, and maintain office procedures and routines to support the efficient handling of immigration cases and administrative processes.
  • Assist in training junior administrative staff on immigration procedures, documentation requirements, and the use of case management software, such as CaseEasy 360.
  • Support financial and administrative processes, including preparing invoices, tracking payments, and maintaining accurate client billing records.
  • Perform general office duties, including data entry, document organization, completing immigration forms, and preparing case files.

 

Qualifications and Skills: 

  • At least 1 - 2 years of related experience.
  • Secondary school or equivalent
  • Excellent planning and organizational skills and attention to detail
  • Ability to multitask.
  • Ability to work independently and with a team too.
  • Flexibility to adjust to shifting priorities.
  • Have good communication skills.
