Location: Bishop’s Falls, NL A0H 1C0

Salary: $28.00 per hour for 35 hours per week

Number of vacancies: 1

Overtime: 1.5 times of gross pay after completion of 40 hours

Vacation Pay: 4% on every pay period

Job Type: Permanent employment  

Job Responsibilities:

  • Managing administrative tasks. This involves organizing and coordinating office operations, such as scheduling appointments, managing calendars, and maintaining office supplies.
  • Handle incoming and outgoing communications, including emails, letters, and phone calls. One may draft and proofread documents, as well as communicate with internal and external stakeholders.
  • Assist with various HR functions, such as recruitment and onboarding processes, maintaining employee records, and coordinating training programs.
  • Responsible for managing budgets, monitoring expenses, processing invoices, and maintaining financial records.
  • Ensure smooth office operations by coordinating with different departments, scheduling meetings, and maintaining office policies and procedures.
  • Prepare and maintain various documents, reports, and presentations. One may also gather and analyze data to support decision-making.
  • Maintain and organize databases and records, ensuring data accuracy, confidentiality, and security.
  • Assist in organizing company events, meetings, and conferences for various purposes. 
  • One may offer support to executives and staff, including calendar management, travel arrangements, and meeting coordination.

Eligibility Requirements:

  • A high school diploma or equivalent is typically required. 
  • Prior administrative experience of 2 to 3 years in an office setting or similar roles is crucial for this job. 
  • Strong organizational and time management skills are essential. Proficiency in office software such as word processing, spreadsheets, and presentation tools is also expected. Knowledge of filing systems, data management, and record keeping is also valuable.
  • Excellent English written and verbal communication skills are necessary for effective correspondence and interaction with colleagues, clients, and other stakeholders.
  • One must be detail-oriented to ensure accuracy in tasks such as document preparation, data entry, and scheduling.
  • The ability to identify issues, propose solutions, and handle unexpected situations efficiently is important. 
  • Often interact with various individuals within and outside the organization. Strong interpersonal skills, professionalism, and the ability to work collaboratively are valuable traits.
  • The ability to handle multiple tasks simultaneously, prioritize work, and adapt to changing priorities and deadlines is crucial. 
  • One often deals with sensitive information. Demonstrating discretion and maintaining confidentiality is essential.
  • A customer-focused mindset is beneficial to interact with clients, vendors, and visitors, providing assistance, and ensuring positive experiences.
