Job Responsibilities 

  • Manage incoming calls, take detailed messages, and direct urgent or confidential matters to the appropriate team members.
  • Act as the first point of contact for client communications, ensuring inquiries are addressed promptly and professionally.
  • Oversee office equipment functionality and maintenance to minimize disruptions.
  • Coordinate team schedules, including appointments, meetings, and events to optimize workflow and productivity.
  • Streamline record-keeping processes to ensure timely invoice, report, and correspondence filing.
  • Maintain an inventory of office supplies and place orders to ensure sufficient supply.
  • Generate and distribute monthly performance metrics and statistical reports.
  • Assist with the onboarding process for new clients, including preparing welcome packets and orientation schedules.
  • Organise events and travel arrangements for the office, including venue selection, transportation, and accommodations.
  • Monitor deadlines and provide reminders for the timely completion of projects and tasks.
  • Manage incoming and outgoing mail and shipments, ensuring secure and timely delivery.
  • Assist in preparing presentations and documents for internal and external use.
  • Coordinate with vendors and service providers for outsourcing tasks.
  • Perform routine checks for office cleanliness and safety, reporting issues for resolution.
  • Contribute to other organizational tasks as assigned to support team objectives.

 

Job Requirements 

  • Completion of high school.
  • Minimum 1 year of experience in administration or completion of college or other program for administrative assistants/secretaries.
  • Strong organizational, communication, attention to detail and problem-solving skills.
  • Strong computer skills including effective working skills of Microsoft Word, Excel, Outlook.
  • Excellent interpersonal skills & the ability to work in a team environment.
