We are looking for 1 organized and responsible Administrative Assistant, who will help the manager tend to all administrative responsibilities in an efficient manner.

Job Summary:

The Administrative Assistant will be responsible of aiding in the coordination between owner and tenants. The Assistant will act as an ambassador to the Plaza Administration and perform tasks such as overseeing maintenance, collecting tenant payments, updating records, resolving complaints, ensure health and safety standards are upheld, the hiring of mall staff such as cleaning and security, among other tasks as required.

This person will need to show exceptional leadership, decision-making, conflict resolution, problem-solving skills, time management, negotiation, effective communication, and teamwork.

Job Description and Duties:

  • Prepare, key in, edit and proofread correspondence, invoices, presentations, publications, reports and related material.
  • Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments or tenants.
  • Schedule and confirm appointments and meetings for the Mall Administrator.
  • Maintain payment reports, as well as monitor leases.
  • Scout and recruit tenants if needed.
  • Answer telephone and electronic enquiries and relay telephone calls and messages
  • Set up and maintain manual and computerized information filing systems.
  • Determine and establish office procedures.
  • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person.
  • Record and prepare minutes of meetings.
  • May compile data, statistics and other information
  • May supervise and train mall staff in procedures.
  • Prepare reports of traffic, parking, sales, and others as needed.

Terms of Employment: Permanent Full Time, Long Term

Hours of Work: 40 hours per week 

Wages:  $26.00 per hour 

Overtime: One and one-half times the regular wage rate as per provincial regulations 

Benefits Package: 

  • Insurance from Workplace Safety and Insurance Board covered by employer
  • Vacation pay as per provincial regulations will be paid each payday on a semi-monthly basis 

Location of Work: 365 Eleventh Street East, Cornwall, Ontario K6H 2Y8 Canada

Anticipated Start Date of Employment:  As soon as possible

Education, Experience and Language Requirements:

  • Completion of Secondary School is an asset
  • At least 1 year of previous clerical experience is required.
